Do you need a visa?

Many nationalities can visit Japan for a short stay without a visa. Please check the visa exemption list of the Ministry of Foreign Affairs of Japan. If your country is not on the list, apply for a visa at the Japanese embassy or consulate in your country.

Letter of Invitation

If you need a letter of invitation for your visa application, request it in the “Before you come” questionnaire on My Dashboard.

1. Register and pay the registration fee The questionnaire opens once your registration is confirmed.
2. Open “Before you come” on My Dashboard Sign in, go to My Dashboard and press Answer now on the “Before you come” card.
3. Tick “I need an invitation letter for my visa” You find it in the Visa section. Then enter your passport details:
   • Full name exactly as printed in your passport
   • Nationality, date of birth and passport number
   • Arrival in and departure from Japan (optional; if you enter them, they are written in the letter)
4. Answer the other questions and save Please also answer the rest of the questionnaire (meals, tour, name badge), then save.
5. Receive the letter by email The organizers check your details and send the letter (PDF) to the email address of your account. You can also see on the questionnaire page when it was sent.

About the letter

The letter confirms your participation in VTCA 2026 (November 25 to 27, 2026, Miyazaki, Japan). The contact person in Japan is Prof. Thi Thi Zin, General Chair of VTCA 2026. The expenses for travel, accommodation and the stay in Japan are your own responsibility.

Each letter has a number and a QR code. Embassies can check that it is genuine on our letter verification page.

If you change your passport details after the letter was issued, write to info@vtca2026.com so that we can issue a new one.
